Schools and workplaces are two of the most common types of communities that utilize intranets. Having an isolated digital community can be invaluable for sharing information and increasing overall efficiency.
A workplace intranet and school intranet are two very different things. The former emphasizes communication between coworkers. Meanwhile the latter serves more as a database for accessing academic resources.
Strong Security
Both types will need to be safe enough for users. Intranets tend to contain a certain amount of confidential data. Modern systems have a good level of security in place to prevent data breaches. Users also have their own accounts which can only be accessed with a username and password. That way, only students and staff can gain entry into the system.
Search Engines
These systems will contain a large amount of data. This poses a problem for users who want to only find a specific section or file. In order to get around this, the intranet will usually have a search engine. It makes locating specific data much faster and easier. Without a search engine, the user would have to manually scroll and click through the database until they find the desired location.
Servers
It is very important that the intranet is able to handle the large number of students and staff who will access it. In order to cope with high activity, one or more servers are utilized as essential tools. People who create new shared information environments need to consider the software and hardware of servers.
Academic Resources
In the past, students would have to access academic resources that were in hard copy format from their libraries. This limited the number of books and papers available to them. This has all changed thanks to intranets. In fact, some educational organizations have
provided their courses entirely through an intranet system.
Relevant Workplace Resources
Despite the fact that most workplace intranets are mainly concerned with communication, they will also contain important resources for the staff. Each one system will have resources relevant to their particular business. This means workers do not need to use the internet. All of the work can be done offline.
Communication Between Users
Both forms of the internet will have an internal messaging system. Therefore, schools and businesses do not have to rely on third-party email services. In practice it allows communication to be streamlined. It also prevents common issues such as spam messages from happening.
